Instructions to set up or adjust video file retention settings on your VieBit VOD service.
The VieBit Video-On-Demand (VOD) server has File Retention policies that can automatically delete files after a set time.
- Once the specified number of days or date has been reached, the file(s) will automatically be deleted for your convenience.
- You will receive warning emails before a file is deleted, as long as you are set up to get notification emails from your VieBit account. Ensure you have a valid email address under your VieBit user (Check the VieBit User Accounts page).
The retention settings can be set on three levels: Site, Folder, and File.
- All newly uploaded files are set to the Site Retention setting by default.
- The File retention policy overrides the Folder and Site retention policy settings.
- For example, if a file's Policy type is set to "Site," – it doesn't matter what the Folder is set to; the file will do whatever the Site policy is (System Setup page).
- The File settings have precedent over all others – Folder or Site settings.
If you don't want files to be automatically deleted, set the Site Retention Policy (on the VieBit System Setup page) to Delete Manually, and make sure all the other Folder and File retention settings are set to "Site" or "Delete Manually."
Setting the Site Retention Policy
- Go to the System Setup page.
- Scroll down to the Site File Retention Policy section
- Select your desired setting.
- This will be the default file setting when a new file is uploaded.
- You can set it to delete at the desired number of days after the file was uploaded.
- You can set it to delete after a specific calendar date.
- You can set it so the file will have to be deleted manually by clicking the red trash can icon in the upper right corner of the file's settings page.
- Click the Submit button at the bottom of the page to apply the changes.
Simplest Option
- The best practice would be to automatically back up files on your backup system before uploading and set your VieBit File Retention policy to delete files after your desired time.
- The simplest option would be, for example, if you want files to automatically delete two years after they are uploaded, set the Site Retention Policy (set on the VieBit System Setup page) to "Delete after 730 days" and leave all the other Folder and File retention settings alone (set to Site).
- If you have files you want to keep, you can set their File retention to "Delete Manually."
Setting a Folder's Retention Policy
- Select the folder on the VOD File Management page.
- Select the Retention tab from the right side of the folder settings page.
- Set the Policy Type from the drop-down menu.
- Any file in the folder with a policy type set to "Folder" will adhere to the folder's retention setting.
- You can set it so files are deleted after the desired number of days after the file was uploaded.
- You can set it so files are deleted after a specific calendar date.
- You can set it so the files will have to be deleted manually by clicking the red trash can icon in the upper right corner of the file's settings page.
Setting a File's Retention Policy
- A file's default retention setting will be the site policy when a new file is uploaded.
- Once a new file is uploaded, you should set its retention policy unless you wish it to retain the default site policy.
- Go to the VOD File Management page.
- Select the file (If it's in a folder, open the folder by clicking the plus symbol to the left of the folder).
- Click the Retention tab on the right side of the file's settings page.
- From the Policy Type drop-down menu, choose the desired setting.
- Site - this setting makes the file's retention settings the same as the Site settings.
- Folder - this setting makes the file's retention settings the same as the Folder settings of the folder the file resides in. This option only applies if a file is in a folder.
- File - this setting will allow you to set the file to any of the three options:
